Research Focus Groups Administrative Guidelines


Readings

The IHC will photocopy readings for each RFG and distribute them to its members. The readings must be delivered to the IHC at least two weeks before the meeting date and should contain a master copy of the reading already photocopied. If an RFG submits a reading to be photocopied that is longer than a journal article or book chapter, then the RFG will be required to pay for the additional duplicating costs. If the reading existes as an electronic version the Senior Artist at IHC can upload it to a password protected Secure Articles Webpage.

Space for Meetings

The IHC will make its McCune Conference Room, Crowell Reading Room, and the Research Seminar Room available for RFG activities.

Publicity

Since all RFG lectures are publicized to the entire campus community and sometimes are announced off campus, we would like to know by the 12th of the month prior to the event.

The IHC will create and distribute a flier for each RFG lecture as long as Emanuel Garcia (x4315), the IHC Artist, is given the following information one month prior to the date on which it will occur: the name of the speaker, title of the talk, date and time of the talk, three-line description of the topic, three-line description of the speaker, and illustration for use on the flyer. Please sumbmit a Publicy Request Form for each RFG sponsored event.

The IHC will also announce RFG lectures by e-mail and, where appropriate, in the media.

All publicity for the RFG lectures will acknowledge that they are part of the UCSB Interdisciplinary Humanities Center Research Focus Group Lecture Series.

RFG Lectures

All RFG lectures are normally scheduled to take place in the McCune Conference Room, IHC at 4 P.M. Mondays-Thursdays.

Funding

IHC funds for RFGs are to be used for inviting scholars/art practitioners to campus for a public lecture and seminar meetings with the group. Funds can be used for the following: honorarium, economy airfare, and hotel accommodations for visiting lecturers; one luncheon or dinner with each guest speaker (at the maximum rates for entertainment listed below allowing for one UCSB host and guest speaker), and light refreshments. It is recommended that the honorarium paid to guest speakers not exceed $500.

Maximum Rates for Entertainment: Breakfast ($15.00); Lunch ($25.00); and Dinner ($40.00).
RFG funds are not intended to be used for co-sponsorship of other lectures. We have established the IHC Co-Sponsorship of Visiting Lecturers and Artists Program for that purpose. Its guidelines may be found on the IHC website <http://www.ihc.ucsb.edu/funding/costsharing.html>

Funds made available to individual RFGs must be spent by the end of the fiscal year (June 30).

Honoraria, Travel, Lodging, and Visas for Speakers

All payments and visas (for foreign speakers) must be arranged in advance with the IHC Business Officer.

In order to minimize the cost of airfare travel, tickets for RFG speakers should be booked through the IHC's travel agent at least one month, but preferably even farther, in advance of the travel date.

Due to the long time period required to secure visas for foreign speakers, it is advisable to begin the process of securing a visa at least three months in advance of the travel date.
